How Proclean NW Commercial & Residential Ltd handles personal information submitted through this website.

Version 1.0 · Last updated: 13 October 2026

1. Who we are

Proclean NW Commercial & Residential Ltd is the organisation responsible for personal information covered by this policy where we decide why and how it is processed. Company number: 16473082. Privacy contact: support@procleannw.co.uk.

2. Information we may collect

Enquiries and quotations

Quote and contact enquiries may include your name, email address, mobile number, service, message, property or premises details, address and postcode, preferred timing, access and parking information, cleaning frequency and other service requirements. Commercial enquiries may include work areas, washrooms, kitchens, waste arrangements, flooring, equipment, products and consumables.

Residential booking requests

Residential booking requests may include contact details, property address and area, property type, bedrooms, bathrooms, parking information, service details, optional extras, preferred date and time, date flexibility, access notes and information used to calculate or confirm a price or quotation status.

Photographs and uploads

Some quote and residential booking workflows allow optional photographs or other supported uploads to help us understand a cleaning requirement. Successful uploads are handled through the configured file-storage service. Please do not upload unnecessary personal or sensitive information.

Cleaner applications

Cleaner applications may include contact details, home area, preferred working areas, experience, availability, travel information, right-to-work answer, car-access and driving-licence answers, DBS answer, equipment and cleaning-products information, preferred work types and additional information. The public application form does not currently establish that CVs, identity documents or DBS certificates are uploaded.

Technical information

The website may process request, browser or device, security and abuse-prevention information, and analytics information where the relevant technology is enabled lawfully.

3. How we use information

We may use personal information to respond to enquiries, understand requirements, prepare quotations, arrange and deliver services, manage bookings and customer communications, review cleaner applications, provide customer service, protect submission workflows, maintain server-side and administrative records, send operational notifications, comply with legal obligations and understand website use and lead activity through lawfully permitted analytics.

4. Lawful bases

Depending on the circumstances, processing may rely on steps before a contract, contract, legitimate interests, legal obligation or consent where consent is required. The applicable basis depends on the information and interaction. We do not rely on consent where another lawful basis is appropriate.

5. Sharing information

We may share information where reasonably necessary with authorised Proclean NW staff, cleaners or administrators; service providers operating configured hosting, database, file-storage, notification, security or analytics functions; professional advisers, insurers, regulators or authorities where required or permitted by law; and a purchaser or successor subject to appropriate safeguards. We do not sell personal information and do not name unverified processors or transfer arrangements.

6. Storage and security

Submitted information is handled through server-side application workflows and database records. Supported photographs are handled through the configured managed file-storage service. Administrative and operational records are protected by authenticated server-side access controls. Relevant workflows include validation, anti-spam measures, rate limiting and duplicate or submission-key protection, but no internet transmission or storage system can be guaranteed completely secure.

7. Retention

We retain personal information only for as long as reasonably necessary for the purpose collected and applicable legal, accounting, insurance, dispute-resolution or record-keeping requirements. The current website evidence does not establish a single fixed retention schedule for every category, so no invented time periods are stated here.

8. Your UK GDPR rights

Subject to legal conditions and exemptions, you may have rights to request access, correction, erasure, restriction, objection, data portability where applicable and withdrawal of consent where processing relies on consent. Contact support@procleannw.co.uk; identity verification may be required.

9. Complaints and the ICO

If you have a concern, please contact us so we can investigate it. You also have the right to complain to the Information Commissioner’s Office (ICO). Information is available at ico.org.uk.

10. Cookies, analytics and similar technologies

The Preview implementation includes Google Analytics 4 using measurement ID G-TN06HRPSV2 and a configured Umami analytics script. In Preview, both are blocked until you choose Accept analytics. Choosing Reject analytics keeps both services disabled.

The website also requests fonts from Google’s font services. The consent choice is stored in browser local storage so the site can remember your preference. You can open Privacy settings later to change your choice.

The final production configuration, including the applicable legal treatment of analytics, cookies and similar technologies, must be confirmed before publication. This Preview wording describes the implemented Preview behaviour and is not a substitute for legal advice.

11. Postcode lookup for residential booking estimates

The residential booking workflow uses api.postcodes.io to validate a UK postcode and support travel estimation. Postcode information supplied for that purpose may be sent to that service, and postcode coordinates may be cached server-side for a limited period to support the calculation.

12. Children

The website is intended for adults and businesses arranging cleaning, property, accommodation or recruitment-related services. We do not knowingly seek to collect personal information directly from children.

13. Changes to this policy

We may update this Privacy Policy when our website, services, processing activities or legal obligations change. The Last updated date shows when it was most recently reviewed or amended.
